Care of Outstation Guests
You have completed your guest list. Suddenly you noticed that you have many guests from
outstation. A little worried about how to take care of them and making them feel welcomed?
No problem. Follow some of these simple guidelines:
Where should they stay?
Delegate the task of researching on hotel rates to a friend, brother or sisters or even
your parents, especially if you are working in a city elsewhere and holding your wedding
dinner in your hometown. If possible, reserve a block of rooms and negotiate for a special
group rate. It will be best if it is the hotel where you are hosting your wedding banquet.
When you send your invitation, include a note to say that they will get special rates if
they stay at the particular hotel. No, you are not reponsible for their lodging costs.
Appoint 'Liaison Officers'
Appoint a few friends with cars that will be your guests' 'liaison officers' while in
town. Assign a few guests to each friend. They will function as a contact person between
you and your guests since you will be busy preparing to get married. They can also
function as temporary tour guides and information officers if and when the need arises.
Maps will be helpful
They will need maps to move around when in town. Include maps of the church or temple and
where the wedding banquet will be held in your invitation. Sometimes the hotel or
restaurant would have ready made ones to give you. Otherwise have a friend who is good in
art sketch some out for you. Or you can have the experts at Tourific do it for you. Your
guests can then access online or you can print them out.
Show them you care
If you cannot be there to welcome them when they arrive, prepare a personal welcome note.
Arrange for the hotel to leave it in their room. It will be a plesant surprise. Include in
your note the itinerary of activities and maps (in case they forgot to bring theirs),
names and contact numbers of their 'liaison officers', more importantly you and your
parents address and contact numbers. Remember to thank your guests from outstation and
overseas during your speech at the wedding.
