Wedding Banquet Responsibility Checklist

A wedding banquet is a complex event to orchestrate. Begin by drawing-up a work responsibility checklist. Delegate the responsibility of planning the banquet to family members and friends. Don’t try doing everything on your own – it can be very stressful.

Designation Items Needed Resposibility

In charge of Liquor
  • Ensure stock quantity is enough
  • Ensure finger food is sent prior to the hotel
  • Ensure finger food is enough at all times
  • Ensure enough liquor at all times for "Yam Seng" session
Receptionist
  • Take down guest's name
  • Identify table number
  • Accept gift and record giver and gift particulars
  • If gift has no name, to put name on gift for easy identification
  • Give out children's activity to children guests
  • Take care of wedding picture on easel
Ushers
  • Welcome guests
  • Ensure everyone has drinks
  • Direct guests to their tables
  • Ensure children are given high chairs if necessary
  • Ensure that Guest bookcard is at every table
  • To collect guest bookcard from table just before last course
  • Request for parking tickets to stamp
Music Coordinator
  • Keeps all the bride's CDs
  • Arranges music in order
  • Ensure the correct music is played for the correct occasion
  • Reheasal on the audio mixer/ PA system in case hotel staff not around
  • Cues all music
  • Ensures level is acceptable
  • Gives cue to live entertainment to begin
  • Ensures musicians are fed before the wedding dinner
     
Floral Arrangement Coordinator
  • To ensure banister is tied with netting and yellow ribbons
  • To ensure flowers are placed correctly
  • To ensure arch is placed correctly and is of acceptable standard
  • To ensure flower arrangement on bride's table
  • To endure yellow flowers in pots around the stage
  • Keep track of designated floral budget
  • Corsages for immediate family
  • To ensure immediate family receive appropriate corsages
  • Flowers on reception table
  • Ice Carving arrangement
     
Bride's Attendant
  • Cue bride on correct timing
  • Hold her safety kit (make up, etc)
  • Bag for angpows and gifts
  • Keep track of giver
     
Groom's Attendant
  • Cue groom on correct timing
  • Hold his safety kit (pail)
  • Keep track of ang pow givers
  • Liquor bottle for "Yam Seng" session
Accommodation Coordinator
  • Coordinate with Bride and Groom on outstation guest requiring hotel accommodation
